This policy explains what personal information PlainlyHQ (“we”, “us”, “our”) collects when you use plainlyhq.co.uk, why we collect it, and what we do with it. We’ve kept it in plain English, the same way we write everything else.

PlainlyHQ is a UK-based provider of plain-English AI guides, templates and resources. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), PlainlyHQ is the “data controller” for the personal information described here. 2. The information we collect
Information you give us
- Your email address when you sign up for our newsletter or request the free guide.
- Your name, email address and message when you contact us through the website or by email.
- The details needed to complete a purchase (such as your name and email) when you buy a product. Payments are handled by our checkout provider, not by us, so we never see or store your card details.
Information we collect automatically
- Basic technical data such as your IP address, browser type and the pages you visit, collected by our hosting and security provider to keep the site running and protect it from abuse.
We do not currently use analytics or advertising cookies. You can read more in our Cookie Policy.
3. How we use your information, and our lawful basis
Under UK data protection law we need a “lawful basis” for using your information. Here’s what we do and why:

4. Who we share your information with
We don’t sell your personal information. We share it only with the service providers that help us run PlainlyHQ, and only as far as they need it to do their job:
- MailerLite — email signups, newsletters and our product checkout.
- Payhip — digital product sales (as more of the shop goes live).
- Cloudflare — website hosting, content delivery, security and email routing.
- Brevo — the service we use to send email from our hello@ address.
- Google — we use Gmail to receive email sent to hello@, and Google Fonts to display the site, which means your browser contacts Google’s servers to load the fonts.
Each of these acts as our “processor” and handles your data under its own data protection terms. We may also disclose information if we’re required to by law.
5. International transfers
Some of these providers may process your data outside the UK. Where that happens, we rely on appropriate safeguards (such as UK “adequacy” decisions or standard contractual clauses) so your information stays protected to UK standards.
6. How long we keep your information
- Newsletter and marketing data: until you unsubscribe or ask us to delete it.
- Enquiry emails: for as long as needed to deal with your query, and a reasonable period afterwards.
- Sales and accounting records: usually six years, as required by UK tax law.
7. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct anything that’s wrong;
- ask us to delete your information;
- ask us to restrict or object to how we use it;
- ask for a copy of your data in a portable format;
- withdraw your consent at any time (for example, by unsubscribing).

8. Cookies
Our website uses a small number of cookies, mainly to make the signup form and checkout work. We explain these fully in our Cookie Policy.
9. Keeping your information secure
We use reputable providers and sensible measures to protect your information. No website can be guaranteed completely secure, but we take care to limit the data we hold and who can access it.
10. Children
PlainlyHQ is aimed at people in business and isn’t directed at children. We don’t knowingly collect information from anyone under 16.
11. Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “last updated” date at the top, and we’ll make any significant changes clear on this page.
